Office Manager – Fire & Ice
Pay: $65,000 – $80,000
Purpose of the Role
We’re looking for an Office Manager who thrives in a fast-paced, people-focused environment. This role is the heartbeat of our operations — supporting our teams, keeping the office running smoothly, and building strong relationships with the blue-collar workforce that powers our business. If you’re forward-thinking, highly organized, and energized by helping others succeed, you’ll feel right at home here.
What You Will Do
Primary Responsibilities
Employee Support
- Build strong, trusting relationships with technicians, apprentices, and field staff.
- Coordinate candidate interviews with operations leaders.
- Partner with Employee Services to onboard and offboard employees.
- Maintain office communications and compliance boards.
- Ensure accurate employee data across ADP, ServiceTitan, Samba, and other systems.
- Answer or direct general employee questions with professionalism and empathy.
- Escalate employee relations issues to the Regional Employee Services Team.
- Payroll experience is helpful but not required — we’re happy to train the right person.
Office Management & Administrative Support
- Manage vendor and facility relationships.
- Report office progress to senior leadership and collaborate on process improvements.
- Order and maintain office supplies.
- Assist with planning and executing employee events.
- Manage uniforms and apparel distribution.
- Oversee apprentice schooling and registration.
- Document accidents, insurance claims, and safety violations for the safety committee.
- Assist with ordering, distributing, tracking, and managing IT equipment (laptops, PCs, printers, iPads, phones, etc.).
- Coordinate IT support and equipment repairs.
What You Bring
- 2–4 years of office experience.
- A natural ability to build rapport with blue-collar teams and support them with respect, empathy, and authenticity.
- Strong problem-solving skills — you can assess a situation, find a solution, and keep things moving without needing constant direction.
- Comfortable working independently and taking ownership of tasks from start to finish.
- A self-starter mindset with the confidence to make decisions and anticipate needs.
- Strong multitasking abilities and exceptional attention to detail.
- Excellent written and verbal communication skills.
- A forward-thinking approach — you’re always looking for ways to improve processes, streamline workflows, and elevate the employee experience.
- A positive, collaborative attitude with high integrity and professionalism.
- Ability to pass a background check and drug screen.
